Construction Services Project Coordinator (Administrative)



Establish a working relationship with internal and external customers through daily communications providing exceptional customer service, account status, and accurate detail on product or construction service needs. Using available tools and standard industry practices, produce information for field teams to employ the Construction Services offering across all brands. Provide work direction to others as needed by issuing POs, change orders, scopes of work, invoice processing and best practices for contracted services. Support the Construction Services Department by working on site, installer, and delivery confirmations for upcoming projects, maintaining schedules where applicable.

KEY RESPONSIBILITIES and TASKS:

  • Manage quote requests from CSR and distribute to in-house estimator
  • Assist in producing quotes for sale of construction services
  • Manage customer POs and scopes of work and build project folder in management software.
  • Create vendor POs and scopes of work and change orders as necessary
  • Keep detailed records of contacts and exchanges of information both with internal and external customers
  • Schedule contractors to perform Construction Services projects as needed
  • Locate contractors to perform Construction Services projects professionally according to Everidge, Inc specifications and scope of work
  • Communicate with all Internal Sales staff and external sales representatives across the brands
  • Complete Order Entry and scheduling of ship dates accurately and timely to avoid production related issues
  • Maintain relationships with sub-contractors and assist in keeping information, compliance documents, and contracts up to date
  • Close out projects based on checklist receipt, invoice payments from contractors after customer validates project is complete
  • Manage, schedule and dispatch requests for Field Technician
  • Direct technical or complex service questions from customers to proper support team members
  • Support Construction Services with freight and warranty claims.
  • Assist with schedule validation, timely delivery and install, supplying/receiving install checklists and project close outs
  • Gather monthly data to produce accurate reporting of tasks and project close outs
  • Learn and navigate proprietary programs to develop quotes, BOMs and data collection
  • Assist department in monitoring design information as it related to install projects
  • Know and maintain proper contact persons list for internal problem resolutions

EDUCATION/EXPERIENCE:

  • 2 yeras of similar industry experience or equivalent.
  • Enhanced level of project support experience
  • General accounting knowledge helpful (for billing and invoicing)
  • Proven ability to learn and understand technical descriptions is required

SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:

  • Computer proficiency with Microsoft Office 365 is a must. Knowledge and skill in Excel mandatory
  • Exceptional organization and communication skills required both verbal and written
  • Proven skills in time management and multi-tasking responsibilities
  • Ability to create/track project status using the project management software
  • Directed and an independent problem solver
  • Ability to expand work hours to meet deadlines and workload fluctuations

PHYSICAL EFFORT

  • Ability to sit behind a desk for 8 hours
  • Ability to work on a PC as required
  • Operate safely in a construction project zone.
