Football Program Manager (Creative Design)



Position Summary:  Plans and manages the delivery of the overall program in accordance with the strategic goals of the organization 

Position Responsibilities:

Communication 

  • Leads communication and sharing of information with Marketing and Outreach, including PR, to ensure maximum exposure for program 
  • Ensures sufficient frequency and quality of communications with student-athletes' parents/guardians 
  • Provides support  to advisors and coaches when working with prospective families, teams and groups 

Internal Coordination 

  • Works with coaches, school staff and APD staff as appropriate for the comprehensive development of the student-athletes 
  • Coordinates with Football Director  and Academic staff to ensure uniform academic performance standards, minimization of travel conflicts with important school dates, notification to school of significant upcoming trips and completion of student-athlete leave of absence procedures 
  • Collaborates with Advisors, Admissions, Health Services, etc. to ensure proper completion of all paperwork for incoming student-athletes 
  • Liaison with Advancement office  

Staffing/Payroll 

  • Assists in projecting and maintaining accurate staffing levels for the program including recruiting, interviewing, hiring and scheduling as appropriate 
  • Responsible for staff payroll including accuracy, accurate Personal Time Off (PTO) tracking and signing off of time cards 
  • Actively manages part-time, seasonal and intern staff 

P&L  

  • Ensures excellent program delivery while eliminating unnecessary costs 
  • Assists in the development of the operational program budget and ensures adherence to the budget 
  • Reviews and submits Expense Reports 
  • Reviews all financial reports and communicates with Accounting staff on all necessary adjustments/corrections 
  • Prepares reports on revenue streams and program utilization 

Logistics/Operations 

  • Works with Sport Director to create, monitor and report on goals and objectives 
  • Researches competitors and collaborates with other sports on campus to ensure implementation of best practices 
  • Schedules competitions, tournaments and special events 
  • Responsible for game-day and event coordination, communications and logistics, including scheduling teams, facilities, officials, transportation, travel, etc. 
  • Responsible for all planning of student athlete and staff travel, and related reporting expenses 
  • Administers paperwork for FHSAA and other governing bodies 
  • Completes all necessary paperwork for visiting coaches and staff, including independent contract agreements and expense reports 
  • Responsible for communication, ordering , allocating and working with corporate sponsors on equipment and apparel 
  • Liaison to pro teams, guest and tournament teams 
  • Coordinates facility expansion and transitions 
  • Anticipates and resolves needs for any off campus facility use  
  • Establishes and maintains relationships with various partners 
  • Adhere to all company policies, procedures and business ethic codes 
  • Other duties as assigned  

*** Note: Business Managers do not coach unless unique circumstances merit an exception granted by the Director of Athletics. 

Knowledge, Skills and Abilities:   

  • Bachelor's degree in related field 
  • Strong business acumen 
  • Strong organizational skills 
  • Experience in sales, marketing, business development or event management 
  • Experience with spreadsheets and financial accountability 
  • Knowledge of scheduling in the specific sport 
  • Ability to drive and manage department to hit short and long term strategic goals 
  • Ability and desire to build collaborative relationships internally and externally 
  • Ability to manage and influence at all levels of the organization 
  • Ability to operate video camera and editing equipment 
  • Ability to manage events/tournaments 

Preferred Skills:

  • Bilingual 
  • Collegiate or professional playing experience 
  • Valid Florida Driver's License 
  • CPR Certification 

Physical Demands and Work Environment:

  • Ability to lift, move, push and pull equipment or boxes in excess of 40lbs.  
  • Should be able to handle outdoor temperatures for a reasonable period of time. 
  • Must be able to move around campus which includes gym, turf, fields, etc. 
  • Ability to work flexible hours to include nights, weekends and holidays
